Project Coordinator Job Description

 The Role

Rapidly growing New York City-based restaurant and media group seeks Project Coordinator to support projects across its restaurant, events, and media verticals. To be a good fit, you will be exceptionally organized, good at managing individuals of all seniority levels, and able to multi-task. You will be able to switch gears quickly and efficiently and thrive in a fast-paced environment. You will possess the desire to master your environment and continually seek to manage issues efficiently before they become problems.

On a daily basis, you will take ownership of several critical paths across a wide spectrum of fields and be responsible for project management of new restaurant openings. You will also oversee decks, track contract fulfillment, coordinate national and international travel planning, and coordinate communication between various departments within the office. 

Specific duties include:

  • Create and upkeep the critical path documents for active restaurant openings

  • Manage various departments within the office as it concerns to the critical path and hold them accountable for meeting deadlines

  • Setting various meetings across both internal and external teams

  • Coordinate domestic & international travel for team members – handling flights, cars, lodging, restaurants, visas etc. (Confirm, Re-Confirm & Track)

  • Create concept decks based on the founder’s vision for preliminary new business meetings

  • Compile and process expense reports

  • Create, implement, and monitor tracking systems

  • Assist the Founder’s Assistant as needed and fill his/her desk when they are out of office

Specific qualifications include:

  • Strong verbal, written and interpersonal communication skills

  • Experience with deck design (Indesign or Powerpoint) helpful but not required

  • Restaurant experience and/or knowledge of restaurant operations and openings a plus

  • Must be able to adapt to changing priorities

  • Exceptional time management and organizational skills

  • Ability to function in a fast-paced environment

  • Self-starter able to function independently

  • Handle confidential information with professionalism and discretion

  • Ability to multi-task & accomplish numerous tasks and changing priorities effectively and in a timely manner

  • Proficient in Microsoft Office Suite, G Suite, Slack, Airtable, and Trello

  • Interest in food, restaurants, art, and media

  • Minimum two years business experience
